Terms of Service

Coach's Dugout is a youth baseball planning tool that helps a coach build lineups, plan practices, track pitch counts and rest-day rules, and manage a roster across a season. Lineup suggestions are generated with the help of an AI model; practice plans are assembled from a curated drill library and do not use AI. We may add, change, or remove features over time.

Lineup, pitching, and safety information provided by the App — including rest-day status, pitch count guidance, and Pitch Smart advisory notes — are aids to your own judgment as a coach, not a substitute for it and not a guarantee of anything. You are solely responsible for decisions about a player's health, safety, and participation, including pitching assignments. The App surfaces information to help you decide; it does not decide for you, and it does not replace your league's rules, a parent's instructions, or medical guidance.

You must be at least 18 years old to create an account. The App is intended for adult coaches and team staff; it is not directed to children, and children may not create accounts.

If you enter information about a player who is a minor, you represent and warrant that you are that team's coach or authorised staff, and that you have the authority and any necessary parental or guardian permission to provide that information for the purpose of managing the team. You agree to remove a player's information promptly if you no longer have that permission, or if a parent or guardian asks you to. A parent or guardian may also contact us directly at support@coaches-dugout.com to request removal.

You are responsible for account activity and for the accuracy of what you enter. You may invite assistant coaches to your team from team settings, and revoke their access at any time.

An invite is sent to one specific email address and can only be accepted by someone signed in with that address. Accepting it makes that person an assistant on that one team — never a head coach, and never on any other team.

Assistant coaches can see and use your roster, rule sets, schedule, seasons, plans you have already generated, Dugout Mode (including making substitutions during a game), and pitch logs. They can also add and remove players, edit rule sets, and end or delete a season — assistants are trusted with the running of the team.

Assistant coaches cannot see player ratings, category ratings, your written notes about a player, or the tryout sheet — not even read-only. They also cannot generate new lineups or practice plans, or invite other coaches. Those actions are restricted to the head coach.

Removing an assistant, or deleting your own account, ends their access immediately.

You agree not to:

• Reverse-engineer, scrape, or attempt to disrupt the service.
• Upload content that is illegal, harassing, or violates anyone's rights.
• Resell or rebrand the App or its outputs without written permission.
• Use the App to publish or distribute a child's personal information beyond what is reasonably necessary to coach your team.

You retain ownership of the data you enter — rosters, rule sets, schedules, plans, notes, and pitch logs. You grant us a limited licence to store, process, and display that data solely to provide the App to you and any assistant coaches you authorise. We do not use your data for advertising and we do not sell it. See the Privacy Policy for what is collected, how it is protected, and how long it is kept.

Lineup data — roster names and positions, the position notes and game notes you write, your rule set text, and each pitcher's rest status — is sent to Anthropic's Claude API to generate lineup suggestions. Ratings are included only when using Best Lineup mode; Normal Rotation omits them from what is sent. Practice plan generation does not call any external AI service.

The App is currently provided free of charge, including during early access for beta testers.

If you create your account before paid plans launch, the features available to you remain free for at least 6 months after pricing is introduced. That window gives early users a real chance to decide whether to continue, rather than being charged the moment pricing launches.

We will tell you at least 30 days before that free window ends — directly, by email to the address on your account, not by quietly relying on this paragraph having been here months earlier. You should not have to re-read these Terms to find out that something is about to start costing money.

There are no paid plans today. If we introduce paid features or subscriptions, we will show pricing and terms before asking you to pay, and you will not be charged without your express confirmation. If you choose not to subscribe once pricing launches, your existing data is not deleted because of that — some features may simply become unavailable until you subscribe. (The retention limits in the Privacy Policy apply either way.) You can delete your account and data at any time regardless.

Asking for beta access through the website does not create an account. The free-access window above applies to accounts.

The App is provided “as is” and “as available,” without warranties of any kind. We do not warrant the App will be uninterrupted or error-free. Lineup, pitching, and safety-related suggestions are aids for your judgment, not a substitute for it — repeated here because it matters more for this app than disclaimers of this kind usually do.

To the maximum extent permitted by law, Coach's Dugout, operated by Phil Giuffre will not be liable for indirect, incidental, special, consequential, or punitive damages arising from use of the App. Total liability for any claim is limited to the amount paid to us, if any, in the 12 months before the claim.

To the extent permitted by law, you agree to indemnify and hold harmless Coach's Dugout, operated by Phil Giuffre from third-party claims, damages, and reasonable costs (including attorneys' fees) arising from data you entered — including player information provided without the authority or permission described above — your misuse of the App, or your violation of these Terms.

We may update these Terms. If we make a material change, we will notify you by email, at the address on your account, before it takes effect, and revise the date above. Continued use after a change means you accept the update.

You may stop using the App and delete your account at any time. We may suspend or terminate accounts that violate these Terms or pose a risk to other users or the service. On termination, your data is handled as described in the Privacy Policy.

These Terms are governed by the laws of the State of Wisconsin, without regard to conflict-of-laws principles. Disputes are resolved in the state or federal courts located there.
